Since 1980, The Way Back, Inc. has supported adults with mental illness by providing safe housing and recovery-focused services. Our mission is to help individuals with psychiatric disabilities—including bipolar disorder, schizophrenia, anxiety, and depression—successfully reintegrate into the community.

The HR Coordinator supports the Agency’s recruitment, onboarding, payroll, training, compliance, and personnel records functions. This position works closely with management and staff to ensure efficient HR operations while maintaining professionalism, confidentiality, and attention to detail. The HR Coordinator reports directly to the HR Manager.

Position Details

Location: Port Jefferson, NY
Position Type: Full-Time, Non-Exempt
Work Schedule: Monday through Friday, 8:30 AM – 4:30 PM (40 hours per week)
Salary: $55,000 annually

Responsibilities

Lead full-cycle recruitment, including job postings, applicant screening, interview scheduling, recruiting events, and community outreach
Coordinate onboarding and new employee orientation
Review timesheets and assist with payroll processing through Paychex (HRIS)
Maintain personnel records and HRIS data in an organized and confidential manner
Coordinate and track required staff trainings, including HIPAA, OSHA, Sexual Harassment Prevention, CPR/First Aid, and agency orientations
Monitor compliance requirements and employee credentials
Assist with staffing coverage for vacant positions
Perform other related duties as assigned

Qualifications

Bachelor’s degree in Human Resources, Business Administration, or a related field
Knowledge of human resources practices and procedures; payroll experience preferred
Experience in a New York State Office of Mental Health (NYS OMH) regulated environment strongly preferred
Proficiency with Microsoft Office, including Excel
Strong organizational, communication, and interpersonal skills
Ability to maintain confidentiality and manage multiple priorities

Additional Requirements

Current American Red Cross Adult CPR and First Aid Instructor certification preferred, or the ability to obtain certification after hire
Ability to travel between agency locations, recruiting events, and training sites as needed
Successful completion of all required background checks, including NYS Justice Center and OCFS clearances, as applicable
